Privacy policy

We are ADANTIO EOOD – a commercial company registered under registration No 3351/04.07.2022 in the Bulgarian register of the Employment Agency for carrying out intermediary labor activities in the country.

Our core business implies active collection and processing of personal data. We take the confidentiality and protection of such data very seriously and as a high priority. 

Who processes your personal data?

Your personal data are processed by ADANTIO EOOD – a company registered in the Bulgarian Commercial Register under identification number 204062080, having its seat and management address in Bulgaria, city of Ruse, 44 Vojvodova Str. 

We are the controller of your personal data within the meaning of Regulation (EU) 2016/679 (also known as the GDPR). This means that we are responsible for the taking of two important decisions. First, what categories of personal data need to be collected to deliver our services to you. Second, what the purposes of processing of your personal data are.

What categories of personal data do we collect about you and why? 

We provide recruitment and intermediary services. For these purposes, we need to process the following categories of personal data: full name, date of birth, age, telephone number, address, email address, education, qualification, work history, public information from your professional social media accounts (such as LinkedIn), recommendations from your previous employers (if applicable), information about your remuneration as currently received and as expected amounts, information about your health status (if you share such with us in light of any existing restrictions that impede you to be occupied on certain positions), information about interviews that you conducted with us and our clients, test results in recruitment, feedback from your performance in the recruitment process.

If you decide to provide us with additional information, we will use it to the extent relevant to the purposes of the processing.

How do we access your personal data? 

We may gain access to your personal data through various channels when you proactively contact us. In such cases, you will voluntarily provide us with your personal data – when you apply for a job ad we have posted, when you use our contact form on this website, when you contact us (even when we have not published an ad) through any of our official communication channels, such as email or phone. 

In certain cases, we may be the one to make the first contact with you – in the process of seeking suitable candidates under recruitment assignments from our clients. We will then normally contact you through your public professional social networking account and provide you with a link to our site and therefore this information regarding the processing of your personal data.

If we receive your personal data as a recommendation from a third party, we will always ask for proof that you know about this disclosure (when we receive your data from the Bulgarian Employment Agency, this process is guaranteed by the Bulgarian law). In these cases, if your application is of interest to us, we will contact you in due course. If your application is not suitable in view of our ongoing projects, we will immediately delete your personal data securely without saving a copy of it. 

Once we have made initial contact with you, your personal information will be included in our professional database. As a company that is specialized in intermediary services, we are under the obligation to keep a register of job-seeking individuals. This applies both to ongoing and future recruitment processes. 

When we manage to help you find a suitable job, the law obliges us to enter this in a special electronic register of employees in the Bulgarian Employment Agency database. Then we will be required to collect some additional information about you: your personal identification number, position under your new employment contract and other information about your contract.

The current provision of our services and our constant desire to improve them may lead to the processing of other categories of personal data as well as to the inclusion of new purposes of the processing. This Privacy Policy will therefore be updated periodically to provide you with up-to-date information about the processing of your personal data. We advise you to made yourself aware of the current version of this Privacy Policy. 

With whom can we share your personal data?

Our priority is to ensure the privacy of your personal data. However, achieving the described processing purposes practically requires the disclosure of your data to third parties.

We will provide your personal data to third parties – our customers and your potential employers – in the context of our recruitment processes. The disclosure of your personal data to third parties will in some cases be our obligation by law, for example to the Bulgarian Employment Agency. We may also disclose your data to companies providing technical support services for our information systems, or providers of legal, financial, and accounting services. When we need to provide your personal data to such third parties, we will always do so in compliance with the legal requirements.

Your data will be processed in the European Union, where they will enjoy the highest possible level of protection. If we need to transfer your data to third countries outside the European Union in order to provide our services, we will do so in accordance with legal requirements and notify you by amending this information.  

How will your personal data be processed?

We will store your data electronically. Access to your personal data will be given on a need-to-know basis, where only those of our employees, or persons employed by us, who need such access to achieve the above purposes or for whom the law so requires, will have access to them.

The processing of personal data may include collecting, recording, organising, structuring, storing, retrieving, consulting, using, disclosing by transmission or anyother way in which the data becomes accessible, analyzing, deleting, etc. 

How long will we store your data?

We will store your personal data in our job applicants’ database until you request their deletion. In this case, they will be securely deleted. We may periodically contact you to confirm your ongoing interest in our services. If we have a contract for intermediary services, we will store your personal data for a period of five years after its termination, unless the law requires a longer period.

What are your rights regarding your personal data that we process?

You can contact us at any time to request information about how we process your personal data. You may request access to them, ask us to rectify them, as well as to request their erasure. In some case, you may be entitled to request a copy of your data in machine-readable format so that you can provide them to other data controllers.

When you have given us your consent for the processing of your personal data, you have the right to withdraw it freely and without penalty at any time by contacting us.

If your request places us in breach of our obligations under the applicable laws or regulations, we may refuse to comply with it. In these cases, you may request that we temporarily refrain from the use of your personal information and cease further processing (the right to object). 

If you believe that we have breached any of your rights related to personal data processing, contact us to discuss the situation. You can always file a complaint to the Bulgarian Commission for Personal Data Protection ( www. cpdp. bg). 

Surveys and Focus Groups 

Members might occasionally be invited to participate in surveys and focus groups. These surveys and focus groups are important sources of information which at times benefit all members by providing reference data e.g., in inter alia their career profiles. When invited to a survey or a focus group, a member is provided with a link that gives him/her access to the survey or focus group. Members undertake not to provide access to the link to any third party and to store the link in such a way that no other person may obtain access to it. The access to surveys and focus groups are always free of charge and you undertake to inform ADANTIO EOOD should you be asked to pay in order to participate in a survey. Nor may a member use another person’s membership or the unique link belonging to it. Members undertake to advise ADANTIO EOOD immediately if there is any suspicion that a third party has obtained access to or used a member’s personal link. 

On occasion and at ADANTIO EOOD’s sole discretion, ADANTIO EOOD can decide to arrange competitions and/or challenges or other events where a member can be awarded a prize. Specific instructions to each challenge/competition/event will be posted on the Site. Notwithstanding the foregoing ADANTIO EOOD shall always have the right to: (a) end a challenge/competition/event prematurely without notice, (b) deliver a prize that ADANTIO EOOD finds suitable. 

When participating in any of ADANTIO EOOD’s surveys you consent that  your answers might be recorded (including e.g., videos, photographs), meaning that you consent to appearing in these recordings. ADANTIO EOOD might use these recordings for future marketing purposes and/or to communicate about the specific event on its Sites and social media channels and/or to create content (such as ebooks, books, trainings, etc.)

EBooks, Events, Infographics, Webinars and other Marketing Activites 

ADANTIO EOOD reserves the right to make, at any given time, any kind of changes, including e.g., changes to the content, – structure, – infrastructure, – scheduling and/or the termination of any of its marketing materials, initiatives and/or activities. 

When registering to any of ADANTIO EOOD’s marketing activities (including e.g., eBooks, events, infographics, webinars, etc.) you consent that ADANTIO EOOD may use your registration information to contact you and to provide you with further employer branding related marketing information issued by ADANTIO EOOD

When attending any of ADANTIO EOOD’s marketing events (including e.g., webinars, events, awards, etc.) you consent that those events might be recorded (including e.g., videos, photographs), meaning that you consent to appearing in these recordings. ADANTIO EOOD might use these recordings for future marketing purposes and/or to communicate about the specific event on its Sites and social media channels.

We may change this Privacy Policy from time to time, so we advise you to review it on an ongoing basis for the most up-to-date information.
